27% of Indian Cos Created Virtual Offices for Work Communication and Employee Engagement: Survey

  • 23% of respondents said that their firms had been investing in various office collaboration tools to work remotely, another 20% of respondents revealed that their companies had now started to implement digital tools to work virtually

  • Nearly, 63% of HR managers affirmed that their companies would continue working virtually even when the COVID-19 lockdown is lifted

  • Despite data security issues, 34% of HR managers said that they use Zoom for office communication, as compared to the other available apps

Most (27%) Indian companies have created virtual offices to ensure seamless work communication and employee engagement, reveals the latest survey conducted by TimesJobs. The survey – conducted among 1,345+ HR managers & decision-makers from diverse industries – aimed to find how the Indian companies were dealing with the ‘en-masse virtual working’, triggered by the COVID-19 lockdown.

The TimesJobs survey concluded that most (27%) Indian companies had readily created dedicated virtual offices for their employees. The next set of 23% of HR managers said that their firms had been investing in various office collaboration tools to ensure a seamless experience for employees. Another group of 20% of respondents revealed that their companies were now implementing digital tools & platforms for their workforce.

“The TimesJobs survey findings indicate that most (27%) Indian companies were ready with their virtual offices, and about 20% were investing in different tools to aid virtual working. Also, 20% of other companies were now considering such tools and technologies. This is a big disruption at corporate India because traditionally India Inc. hasn’t been so keen about the ‘virtual working’ culture. For years, TimesJobs has been saying that ‘virtual working’ will be the ‘next big thing’ at workplaces, and the COVID-19 lockdown and the mass digital adoption has just proved our point. I won’t be surprised if many offices will now consider moving some roles to remote working permanently,” said Sanjay Goyal, Business Head, TimesJobs and TechGig.

TimesJobs survey findings also threw light on how different companies were managing remote working during the COVID-19 lockdown, and the response of the employees henceforth. The major takeaways of the survey are –

Virtual working is here to stay, even after the lockdown:

  • 63% of HR managers claimed that their organisations would continue to work virtually even when the COVID-19 lockdown is lifted

  • Among the remaining 37% of firms, most HR managers (about 44%) said that they will call only 30-40% workforce to office premises in the first run.

HR managers saddled with employee queries:

  • Most (74%) HR managers were presently loaded with employees’ queries related to job security and salary cut

  • Next 13% of HR managers revealed that amid the current lockdown, employees' queries related to workplace policies doubled up

Managing productivity and employee well-being: Two top challenges for HR managers presently

  • Around 25% of HR managers said that managing workforce productivity – amid the COVID-19 lockdown - was a primary challenge presently

  • Whereas, 23% of survey respondents said that ‘ensuring seamless work experience for employees’ as their biggest roadblock presently

  • Next, 19% of respondents stated that enabling mental and financial well-being of employees was the biggest challenge for them amid the COVID-19 lockdown

Dependency on digital tools amplified:

  • Around 37% of HR managers said that their dependency on digital tools and technologies have increased due to work-from-home mandate

  • As many as 28% of respondents asserted that implementation of new technologies such as virtual reach out-groups, video calling etc have transformed the conventional idea of working cohesively

Employees Spend over 3 Hours a Day on Easily Automatable Tasks: Study

Office workers are ready to welcome automation of repetitive digital tasks, as on an average employees spend more than three hours a day on mundane computer tasks which are not part of their primary job and are ripe for human error, a survey said on Tuesday.

According to a global study commissioned by Automation Anywhere, in India, out of 1,000 participants surveyed, 88 per cent believe humans should not be carrying out repetitive administrative tasks if they can be automated.

The research by the robotic process automation player noted that nearly half of workers surveyed found digital administration boring and a poor use of their skills, while majority of respondents said it gets in the way of doing their main job and reduces their overall productivity.

With an 8-hour workday being the global norm, according to the survey, the average employee loses 60 hours per month to easily automatable tasks.

By deploying a digital workforce and automating these repetitive tasks, employees could be given back a quarter of their annual work time (4.5 months) to focus on more meaningful work, boosting productivity and overall business value.

At the very top of the "hated task" heap is general data entry – manually inputting data into a computer or other devices, followed closely by managing e-mail traffic and filing digital documents – such as documents, spreadsheets, images or PDFs - into the correct digital folder.

Compiling reports from IT and software systems and invoice management round out the top five most hated tasks, the survey noted.

"Close to 80 per cent of the participants in India believe that admin work is an obstacle for them to do their main job," said Milan Sheth, Executive Vice President India, Middle East & Africa, Automation Anywhere.

Sheth further said "workers can focus on higher value tasks if the mundane repetitive tasks can be automated".

As per the report, more than 95 per cent of participants in India are open to the idea of working alongside digital co-workers/software bots. Besides, 55 per cent of respondents said they would consider leaving a job if this manual administrative load became too high, while 85 per cent would be attracted to work at a company that invested in automation to reduce repetitive digital administration tasks.

Automation Anywhere commissioned independent research group OnePoll to conduct 10,500 interviews with office workers in 11 countries around the world in 2019. Respondents represented a variety of demographic groups, job levels, industry sectors and company sizes. PTI DRR DRR

Startup Culture: 4 Ways to Motivate Your Employees

Entrepreneurs often make a big mistake. In creating their startup, they often assume their employees are all on the same page. This assumption may explain the failure of so many new businesses. As Howard Greenstein writing for Inc.com says, “it is at these crucial times that keeping the team motivated isn't just an option. It is a necessity.”

If you want to create a productive and sustaining startup culture, you must understand your employees have a different perspective on what you are doing. Entrepreneurs thrive on a burning passion, a 3-dimensional vision. For most employees, work is a bread and butter issue, so if you want to motivate your employees, you need some starting points.

4 ways to motivate your employees:

  1. Build a community. You must make employees stakeholders in the business and its future. It takes regular meetings with individuals and groups to paint a picture of your vision — and their role in making it happen. You should avoid drawing a picture of monetary profits. It’s more motivating if the employees can see how what they do serves the customers and community. They should understand there are a lot of stakeholders.

  2. Give them the tools they need. If workers have the tools to excel, they will. For instance, coworking software offers access to most of your business functions. Employees can share dozens of apps for calendaring appointments and meetings, confirming inventory, billing and invoicing, experience management, and more.Approaches like this engage and motivate by enabling a culture of transparency and partnership. It’s important for everyone to feel they are involved and can make even the smallest difference.

  1. Make them risk-averse. Employees are vital to your productivity, and they need more than a role to play. They are also your business’s first line of defense against threats. You can assure those efforts if you give them some sense of ownership. If you expect effort and sacrifice, they should have some equity in the overall business performance. Of course, promises of “sweat equity” will help. But you can recognize, reward, and repay their effort in other ways. The occasional pizza party won’t hurt, but they need the safety net built of health insurance, flex time, vacation pay, and other benefits.

  2. Train them and train them good. Employee training makes them better employees and doubles your investment in money and time. You can underwrite their tuition, send them to seminars, or pay for their membership in professional organizations.

But you can also engage them with online games, videos, and TED Talks during work hours, especially where the time doubles as a reward to achievement. Learning is a relief, reward, and recognition with results that make the business better.

Remember, respect motivates!

According to a Harvard Business Review study, “Being treated with respect was more important to employees than recognition and appreciation, communicating an inspiring vision, providing useful feedback — even opportunities for learning, growth, and development.” Mutual and reciprocal respect consistently sustain leaders, employees, and startups everywhere.
